The problem

Getting paid shouldn't require constant chasing.

Most businesses lose hours a week to unpaid invoices, overdue accounts, follow-up emails and spreadsheets that don't talk to each other. The real problem isn't that an invoice went unpaid — it's that payment operations become manual, reactive, and difficult to manage as the business grows. SolvenOS is the operational layer that handles this for you.

Unpaid invoicesOverdue accountsManual follow-upsSpreadsheetsFragmented history

We know reminding a client to pay can feel awkward — especially when it's someone you've worked with for years.

That's usually why invoices sit unpaid longer than they should. It's rarely about bad intent. There are ordinary reasons payments run late:

  • They forgot, or the invoice got buried in an inbox.
  • They're waiting on their own customers to pay them first.
  • A dispute over scope or an amount nobody resolved.
  • Cash flow is tight this month and something has to wait.
  • There was never a clear reminder — just silence.

SolvenOS takes the awkward part off your plate — the follow-up still comes from your business, just handled with consistency you don't have to think about.

How it works

Know what to do, when to do it, and why.

01

Connect your payment data

Bring existing invoices, customers and payment information into SolvenOS — or start fresh.

02

SolvenOS understands your receivables

The platform reads invoices, payment status, customer behaviour and payment history.

03

SolvenOS identifies upcoming and overdue payments and recommends practical next steps.

04

Act

Automate the appropriate actions, or review and approve them yourself first.

Intelligence

More than automation. Intelligence.

SolvenOS doesn't simply send reminders on a timer. It looks at what you already know about your receivables and how each customer tends to pay, and helps surface what deserves attention — and what action actually makes sense. When a payment isn't moving for a real reason — a dispute, a missing document, an amount that doesn't match — SolvenOS identifies exactly what's blocking it, so it can be resolved instead of chased.

Customer payment behaviour

Learn how each customer actually pays.

SolvenOS builds a payment reliability picture from real history — average days to pay, on-time rate, late frequency and outstanding balance — to help you decide how to manage each account. It's a guide for judgement, not a guarantee of what happens next.

Automation, on your terms

You choose how much SolvenOS automates.

Nothing about how you talk to your customers happens without your say — SolvenOS won't automate sensitive communication behind your back.

Manual

You decide what happens. SolvenOS surfaces the information, you take the action.

Approval

SolvenOS recommends and prepares the action. You review and approve before anything is sent.

Automatic

Workflows you’ve approved run on their own, according to rules you set.

Document intelligence

Turn documents into operational data.

Upload invoices, statements, customer records and other business documents. SolvenOS extracts what's relevant and turns it into payment data you can actually act on — no re-typing, no starting from a blank spreadsheet.

Works with what you already have

The payment operations layer — not another accounting system.

Already on Xero, Sage or Zoho? Payment Ops sits alongside it and picks up where invoicing leaves off. No accounting software yet? Create and manage invoices directly in SolvenOS. Either way, every invoice, its status and the payment activity behind it stays connected.

How you work with us

Run it yourself, or hand it to us. Either way, it's still your business.

Done with you

You run Payment Ops yourself. SolvenOS provides the platform, onboarding and support to get your receivables, workflows and rules set up properly.

Done for you

SolvenOS manages the day-to-day for you — monitoring, follow-ups and escalations — so your team doesn't have to.

You own the customer relationship.

Whichever way you choose to work with us, SolvenOS provides the technology and operational infrastructure — your customers remain your customers, communicated with under your name. We're not a collection agency, and we're not here to insert ourselves between you and the people you do business with.

Copilot is built for your business, not your customers. It's here so you or your team can ask about your own receivables and get a straight answer, in plain language.

Your customers never log into SolvenOS and never see Copilot. It's an internal tool for the business running Payment Ops — not a customer-facing chatbot.

FAQ

Questions businesses actually ask us.

Straight answers, before you talk to us.

Is SolvenOS a debt collection agency?

No. SolvenOS is a technology company. Payment Ops gives your business the tools to manage payment operations yourselves — every reminder, follow-up and escalation goes out in your name, not ours. We don't take over accounts or step in as a third-party collector.

Will my customers know SolvenOS is involved, or ever need to log in?

Your customers only ever hear from you. Communication is sent under your business's name, and your customers are never asked to create a SolvenOS account or log in anywhere. As far as they're concerned, it's just you following up — more consistently.

What happens when a payment is stuck for a real reason — like a dispute or a missing document?

SolvenOS is built to catch that, not push past it. Rather than treating every unpaid invoice the same, it identifies the actual blocker — a dispute, a missing document, an amount that doesn't match — and flags it for resolution, so you're solving the real problem instead of sending a reminder that won't help.

Do you guarantee we'll get paid faster or recover more?

No, and we'd rather be upfront about that than oversell it. Reliability scores and recommended actions are decision support built from real payment history — they help you prioritise with more information, not a guarantee of what any customer does next.

We already invoice through Xero, Sage or Zoho — do we have to switch?

No. Payment Ops sits alongside the accounting software you already use and picks up from there. If you don't have one yet, you can create and manage invoices directly in SolvenOS instead — either way, invoices, status and payment activity stay in one place.

How much of this runs automatically?

As much or as little as you choose. Manual mode leaves every action to you, Approval mode prepares actions for your sign-off first, and Automatic mode only runs workflows you've explicitly approved in advance. Nothing customer-facing goes out without your say unless you've set it up that way.

Is our data kept separate from other businesses on the platform?

Yes. SolvenOS is built as a multi-business platform where each client's data and access are isolated to that business alone. Your receivables and customer information aren't visible to, or shared with, any other business using SolvenOS.
